Description

The Associate Director of Applicant Engagement at Thomas Jefferson University provides strategic leadership and management in the recruitment of first-year, transfer, graduate, and international students by developing and executing customer service plans designed to convert students through each stage of the enrollment funnel. In addition, the Associate Director will oversee the East Falls Campus Welcome Center as well recruit, hire, train and mentor undergraduate and graduate students in our East Falls Campus Ambassador program. The Associate Director will collaborate extensively with colleagues within enrollment management, our internal administrative and academic partners, and our external network of vendors and service providers.

Essential Functions

  • In-Bound Communication: develop and manage a centralized customer service center for Jefferson Enrollment Management (Admissions and New Student Financial Aid) with the goal of ensuring clear and consistent methods of contacting Jefferson; ensure that responses are timely, accurate, and reflective of Jefferson’s high customer service standards.
  • Call Campaigns: develop and execute a customer service-oriented strategy for qualifying leads, communicating with prospective students, cultivating strong applicant relationships, and tracking recruitment performance from inquiry through to enrollment.
  • Ambassador Program Management: advance Jefferson’s use of student ambassadors by providing leadership, mentorship, and fostering a community that produces high-quality interactions; the caliber of the student ambassador program will support professional development of current Jefferson students. Develop engaging training and evaluation programs and a forum for positive interactions with student leaders.
  • Welcome Center Management: oversee the team’s effort to design a Welcome Center experience that is reflective of the Jefferson brand and high customer service standards; directly manage the East Falls Campus Welcome Center.
  • Asset Development & Management: work directly with strategic partners to develop and maintain assets used to promote the Jefferson brand at event and visit opportunities; ensure that Jefferson Enrollment Management efforts promote and protect the Jefferson brand.
  • Reporting & Analysis: work with colleagues in Enrollment Management to create dashboards and monitoring reports; produce ad-hoc analyses. Utilize data to track results and course correct as needed.
  • Key Collaborations: collaborate extensively with key academic and administrative colleagues and external vendors.
  • Budget Management: manage funds allocated to area of responsibility.
  • Staff Management: supervise, train, mentor, and motivate team members to attain or surpass enrollment goals. Provide strong leadership in benchmarking, innovation, use of technology, and continuous improvement.
  • CRM (Slate by Technolutions): optimize technology by conducting reviews of business processes to determine if/how technology can improve or streamline the way we do our work. Utilize Queries, Reports, Forms, Events and Scheduler on a regular basis; directly oversee the development and maintenance of Slate Inbox and related technologies utilized to manage customer service.
  • Strategy & Engagement Team Responsibilities: as a senior member of the Enrollment Management Strategy & Engagement team, the Associate Director will contribute to efforts related to planning, policy & procedure development, quality assurance & effectiveness, and budget & team management. The Associate Director will assess current practices, and propose and pilot new, technology-enhanced and data-driven admissions approaches.

Position Location: This is an on-site position located on the East Falls Campus.

Conditions of Employment

Covid Vaccination is a requirement for employment at Jefferson for employees working at Jefferson’s clinical entities or at the University. If you are not currently vaccinated you will be required to receive the vaccination prior to hire date if you are offered employment, unless you request and receive an approved medical or religious exemption from Jefferson.

Qualifications

  • Bachelor’s degree required; Master’s degree preferred
  • 5+ years of professional experience, 2+ years management/leadership experience is required
  • Experience in an undergraduate and/or graduate admissions office is strongly preferred
  • Slate experience is strongly preferred; experience using call center technology (phone, email, chat, CRM) is preferred
